Customer Concierge Executive

About the Role

Based in Malta and reporting to the Head of Customer Concierge Department, the incumbent Integral and essential part of the customer concierge team, ensuring that all customer inquiries and requests are handled promptly and professionally, including the liaison with internal department, namely OPS, Crew Control and Travel.

Tasks and Responsibilities

  • Maintain a comprehensive overview of all flights, taking note of any special restrictions or operational issues that could affect the customer experience.
  • Proactively communicating with clients about operational restrictions and offering suitable alternative options.
  • Ensure and maintain timely and accurate communication with clients.
  • Strategically planning and coordinating with other departments to ensure the best outcome for the client.
  • Monitoring changes and making necessary adjustments to ensure the best outcome for the client.
  • Working with high-profile clients and flights, ensuring they receive priority and focused attention.
  • Organizing flights for high-profile individuals, including heads of state, corporate leaders, entrepreneurs, and private individuals owning aircraft managed by ElitAvia. You will provide support directly to your clients via telephone and email.
  • Independent processing of daily flights, organizing flight-related services, and completing additional tasks as required.
  • Providing direct support to clients via telephone and email, with availability during business hours and after-hours coverage by the OPS team.
  • Arranging and following up on chauffeur services
  • Arranging and facilitating helicopter and aircraft sub-charter services
  • Assisting in the procurement and management of all necessary documentation for flight operations.
  • Assisting in transportation of hazardous and specialized cargo, ensuring compliance with regulatory requirements in cooperation with Flight OPS, Safety Manager, Dispatch and Dangerous Goods Manager
  • Coordinating with various departments and owner’s back office to ensure seamless travel experience
  • Tracking all necessary documentation for flight operations, including permits, clearances, and licenses.
  • Ensuring compliance with regulatory requirements and Elit’Avia standards.

Requirements 

  • Experience in business aviation.
  • Background in customer service and a strong commitment to delivering outstanding service to all our clients.
  • The ability to handle challenging situations while guaranteeing a smooth customer experience.
  • English language proficiency is a must.
